Job Summary
The HR Assistant provides administrative support to the Human Resources team by helping with employee records, onboarding and offboarding, benefits and payroll documentation, employee communications, and general HR coordination. This role requires attention to detail, confidentiality, organization, comfort using technology, and a helpful, service-focused approach.
Key Responsibilities
Human Resources Administration
- Provides general administrative support to the Human Resources team, including preparing documents, maintaining files, and responding to routine HR inquiries.
- Maintains employee records and HR files in accordance with company procedures and confidentiality requirements.
- Maintains confidentiality of employee information and handles sensitive documents with care and professionalism.
- Performs other related duties as assigned.
Onboarding, Offboarding & Employee Support
- Assists with onboarding and offboarding activities, including preparing new hire materials, coordinating paperwork, assigning training and helping ensure required forms are completed accurately.
- Supports basic benefits, payroll, and timekeeping administration by collecting documentation, routing employee questions, and assisting with follow-up as needed.
- Coordinates employee events, activities, meetings, trainings, engagement initiatives, and HR-related events.
Technology & Data Management
- Uses HR technology, Microsoft Office applications, spreadsheets, electronic filing systems, and other digital tools to enter data, track information, prepare reports, and support efficient HR processes.
Reception & Office Support
- Answers phones with a positive, helpful attitude and routes calls to the appropriate person.
- Maintains security by following procedures, monitoring logbook, and issuing visitor badges.
- Maintains common areas such as the lobby, break room, conference rooms, etc. to ensure they are clean, organized and adequately supplied.
Qualifications
- Associate degree or coursework in Human Resources, Business Administration, or a related field preferred.
- At least 2 years of experience in the Human Resources field required.
- Ability to handle confidential employee information with professionalism and discretion.
- Strong attention to detail, organization, and follow-through.
- Effective written and verbal communication skills.
- Competency in Microsoft applications including Word, Excel, Outlook, and Teams, with the ability to learn and use HR systems, electronic filing platforms, reporting tools, and other workplace technology.
- Ability to use technology to organize information, track tasks, maintain accurate records, and support efficient HR workflows.
- Ability to manage multiple tasks, meet deadlines, and work collaboratively with employees and managers.
